HOW TO SUBMIT AVAILABILITY
Availability for events will be sent out on THURSDAY. Availability goes out bi-weekly via email. The email will contain an availability link that will direct you to a Google document where you can check “Yes” or “No” for availability of a specific date range. Replying “Yes” to the dates you are available does not guarantee you will be scheduled for that event. Replying “Yes” does guarantee you will be considered. It is your responsibility to submit availability on time. The result of this mishap will forfeit any chance you could be scheduled for events during that range. Be sure to only commit to dates that you are available. The crew call on the availability is when you would need to report to work should you be scheduled.
I want everyone to make the crew call but I do allow a 2-hour window with advanced approval. If you know you have something going on during the crew time but can make it here within 2 hours of the crew time still put a “Y” on your availability. In this case if you do get scheduled, after you have received your schedule then email me to alert me that you will be running late for that specific shift. You would say for example, “I have a class that gets out 4pm. The crew call for the event is 3pm so I will be there around 4:15pm if that is ok.” From there I will confirm I have received and will update the schedule to reflect you will be running late for that event. Ideally, this would be a rare occurrence but as long as it is communicated properly I will permit.
HOW SCHEDULING WORKS
Schedules for upcoming events will be sent to you via email. The schedule lists all of those who are scheduled to work that event in addition to the crew call and game time information. It is the student or employee’s responsibility to review each schedule and confirm if they are scheduled. It is very important you show up for your scheduled shifts.
For all scheduled shifts you are to report to crew call at D2243 located in Building D at 403 Stadium Dr. Once you arrive you are to sign in on the provide sign-in sheet and check in with the producer or director for that event. If game credentials are required for the venue you will be issued a credential at this time. The Seminole Productions control rooms are located on the 2nd floor of Building D of the Moore Athletic Center. Only show up for a crew call if you are scheduled to work that event. When signing in use the following acronyms for your status; FT (Full-Time Staff), PT (Part-Time Staff), VOL (Volunteer), MC (RTV 3543 Multi-Cam Student), and WS (RTV 3680 Student).
PARKING FOR EVENT STAFF
Parking is not provided for students. Parking will be provided to paid event staff on an availability basis. Parking passes can be purchased as single day passes. https://transportation.fsu.edu/parking-permits ATTIRE Seminole Productions T-Shirts are available to event staff. Each event staff will be provided one crew t-shirt. It is your responsibility to take proper care of the t-shirts including cleaning and avoidance of loss. We are working professional events so it is important to adhere to a simple standard of personal grooming and cleanliness. Some general appearance points below.
- No dangling earrings or excessive jewelry
- Shorts are permitted, but no cutoffs or gym shorts
- Jeans are permitted if they DO NOT have holes
- Flip Flops are NOT permitted on the fields or courts. Wear closed toed-shoes
- All attire should be presentable and clean
- If it is cold out it is okay to wear jackets or hoodies
- No shirts, jackets, or hats should display sports teams other than Florida State University
FOOD AND DRINK
Food is provided for events longer than 3 hours. You are permitted to bring your own food or snack. Food is prohibited from all control rooms. You can eat a snack in the break room or at a venue. Water is the only beverage permitted in the control rooms. Your water container must have a lid.
ILLNESS
If you are scheduled for an event and become ill or injured and cannot work your shift contact Seminole Productions management so they can arrange to cover the shift. Do not come to work ill. If you become ill during an event be sure to alert the producer or director so they can take the necessary steps to relieve you of your duties.
SAFETY
It is very important you always exercise good safety practice. For events that are outdoors the sun can be very hot. ALWAYS be sure to hydrate with plenty of water before, during, and after an event. Water is provided at mealtime but you are encouraged to bring a water bottle. Sunscreen is available to you to prep for the event. We recommend wearing a hat as well to help keep you cool. We have earplugs available. These are especially recommended for low handheld cameras at basketball, football, or concerts. This will help block band and crowd noise and protect your ears from loud noises. Batting helmets are provided and strongly recommended for base camera operators at baseball and softball.
